ACCESS & APPROVALS

Who can see what?

Access follows role. Property managers, board members and owners each see only what their role allows. Board materials stay with the board; owners see what the board chooses to share — never the other way around.

Does anything publish without approval?

No. Every update, email and survey waits for a manager or board member to approve it.

Do owners need an app or a login?

No app. Updates are on the HOA's website and in their inbox. A login is only needed to vote, respond to a survey or pay dues — one response per lot.

Can one company manage several HOA’s?

Yes. Every association appears as its own card on one dashboard, in its own colors, with its own site and records.

RFPS, ELECTIONS, SURVEYS & DUES

How do RFPs, elections and surveys work?

Each has one place to run it. Post an RFP, receive and review bids; announce an election and collect candidate statements; open a survey and gather responses. Results and decisions are shared with owners from the same place — and every bid, ballot and response becomes part of the HOA's permanent record.

How are dues billed?

Per lot, per period — quarterly dues or a special assessment. Each owner receives a statement; owners pay online or by check to the management company, and the board sees paid, unpaid and overdue at a glance.

CANCELLATION & DATA

Can we cancel at any time?

Yes. Cancel from your account whenever you choose — no contract term, no cancellation fee. Your HOA sites stay live through the end of the billing period.

What happens to our data if we cancel?

It stays yours. Within 30 days of cancellation every record — updates, minutes, financials, RFPs, bids, ballots, surveys and owner lists — is packaged as a zip and returned to the HOA. It is then permanently deleted from our archives.

Who owns the records?

The association does. We hold them on the HOA's behalf. Export any record at any time.

Where is data stored and how is it protected?

In the United States, encrypted in transit and at rest. Sign-in uses two-factor verification; access is logged per user.

How long does setup take?

About ten minutes per HOA: import the owner list, choose a theme, publish your first update. We move existing documents in for you.
